Our MIDAS scheduling software allows administrators to export invoices from their booking system for use in a range of 3rd party financial applications.

We already support exporting invoices to several popular invoicing platforms, including:

QuickBooks Online

Sage Business Cloud

Xero

Clear Books

KashFlow

QuickFile

For MIDAS v4.30, we’ve now added Zoho Invoice to this list.

Zoho Invoice is free cloud-based invoicing software that helps you craft professional invoices, send payment reminders, keep track of expenses, log your work hours, and get paid faster.

To export invoices to Zoho Invoice, users with sufficient permission can simply go to MIDAS Admin Options → Import / Export → Export → Invoices.

Select the “CSV File (Zoho Invoice)” option and click the “Export” button.

Export Invoices from MIDAS to Zoho Invoice

MIDAS will generate a CSV file of your invoices that you can download and then import directly into Zoho Invoice.

For more information, please see our KB article: How to exporting invoices to Zoho Invoice.

In previous blog posts we’ve covered a number of new features coming in MIDAS v4.27. These include quickly selecting common date ranges, printing individual bookings, and auto-approve improvements for booking requests.

In this post we’ll brief touch on some of the other new features we’re introducing in v4.27.

Search results can now be easily printed

The “Print” icon in the MIDAS toolbar is really flexible! When viewing the Booking Grid, clicking the Print icon allows you to print bookings for the currently viewed date (or date range).

Furthermore, right-clicking the Print icon show advance print options allowing you to further customize booking print outs.

But that’s not all, the Print icon also allows printing in other areas of MIDAS. For example, when viewing reports/statistics, the Print icon will print the current report.

For v4.27 we’ve further extended the Print icon’s functionality in relation to search results.

When performing a search (via the “Search” toolbar icon), the Print icon can now be used to send the search results to your printer.

The Recent Activity audit log can now be exported to Excel

The “Recent Activity” feature in MIDAS allows administrators to view an audit log of all recent user activity within your booking system. This includes log ins and outs as well as bookings added, modified, and deleted.

Each entry in the Recent Activity log is timestamped with the user who performed each action, as well as their IP address.

This allows a full audit trail to be maintained for actions taking place in your MIDAS system.

For v4.27, we’ve added an “Export” button to the Recent Activity log. This allows you to easily export the log to Excel.

Exported client data now includes current credit and tax exempt status

Whilst we’re on the subject of exporting data from your MIDAS system; Exporting client data (MIDAS Admin Options → Export → Clients) in v4.27+ will now also include each client’s current credit and tax exempt status.

Note: This information will only be included in exported client data if the user performing the export has been granted the “Can use invoicing” permission.

Improved booking import support

As you may be aware, MIDAS allows you to import bookings from 3rd party software.

When importing bookings, MIDAS needs to know the date format used in the data you’re importing.

Every 3rd party application stores/exports dates differently, and so we strive to support as many different date formats as possible.

Currently supported import date formats are:

DD.MM.YYYY (Example: 23/07/2021)

DD.MM.YY (Example: 23/07/21)

MM.DD.YYYY (Example: 07/23/2021)

MM.DD.YY (Example: 07/23/21)

YYYY.MM.DD (Example: 2021/07/23)

YYYY.DD.MM (Example: 2021/23/07)

YY.MM.DD (Example: 21/23/07)

YY.DD.MM (Example: 21/07/23)

DD.MM.YYYY HH.MI (Example: 23/07/2021 16:30)

MM.DD.YYYY HH.MI (Example: 07/23/2021 16:30)

HH.MI.SS – Day DD Month YYYY (Example: 16:30:00 – Friday 23 July 2021)

HH.MI-HH:MI, Day DD Month YYYY (Example: 16:30-17:30, Friday 23 July 2021)

Day DD Month YYYY HH.MI – Day DD Month YYYY HH.MI (Example: Friday 23 July 2021 16:30 – Friday 23 July 2021 17:30)

For MIDAS v4.27, we’re adding support for a couple more date formats:

DD.Mon.YYYY (Example: 23-Jul-2021)

DD.Mon.YY (Example: 23-Jul-21)

This extensive range of supported date formats for your raw booking data should cover the formats used by most 3rd party applications.

If you have booking data that you wish to import that doesn’t conform to one of the above date formats, please let us know and we’ll try and add support in a future update.

Advanced filter improvements

When advanced printing or when generating invoices, MIDAS offers an advanced “filter” option. This allows you to include/exclude bookings from your printout/generated invoice(s).

For v4.27 we’ve imported these advanced filters to now allow blank (empty) search terms.

This improvement now allows you to include/exclude bookings where a certain booking field is blank, which previously you couldn’t do.

We’ve also further improved the advanced print filter to allow filtering of bookings by invoice.

This allows you to now generate a printout of bookings which match, partially match, or don’t match a particular invoice number.

Custom logo improvements for cloud hosted customers

MIDAS allows you to “co brand” the software by uploading your own logo. This logo then appears throughout the software. For example, it is included on the login screen for your MIDAS system. It can also then be included in various templates in MIDAS – including email and invoicing templates.

Your logo may be added/changed via MIDAS Admin Options → Manage MIDAS → Appearance → Logo.

Our cloud hosted customers may notice that when changing their logo, the changes are not immediately visible. This is due to the way our network “caches” static content, like logos. Sometimes it can take up to 24 hours to a logo change to be visible.

We’re improving this for MIDAS v4.27. Now, when our cloud hosted customers change their logo, their new logo should be visible right away!

How To Get MIDAS v4.27…

Self-Hosted customers with active Support Subscriptions will shortly be able to update to v4.27. It only takes a couple of clicks – simply log in to your MIDAS system and go to MIDAS Admin Options → Manage MIDAS → Update.

If no update is available, please check back again in a few days time, as we are staggering updates for self-hosted customers over the next few weeks.

In our previous update (v4.25) we added a host of new data export features. This included the ability to export invoice data to QuickBooks, Sage, Xero and several other popular accountancy packages.

For MIDAS v4.26, we’re adding a couple of additional features to the export capabilities of our booking software.

Export Users

MIDAS is already capable of exporting Booking, Client, Invoice, and Resource data in a range of formats.

For v4.26 we’re now also allowing user data to be exportable.

Exported user data includes all privileges assigned to each account within your MIDAS system.

One piece of advice we offer to help customers keep their MIDAS systems secure is that each user account should only be granted the minimum permissions each individual requires.

For customers with a large number of user accounts, this new export option allows administrators to quickly audit the permissions assigned to every user account.

Refined Client Data Exports

The ongoing global COVID-19 pandemic is forcing organizations to adapt to how they operate. Throughout this period, we’ve been listening closely to our customers feedback.

We recently published an article on 6 ways MIDAS can help your business adjust to COVID-19.

In addition, we’ve been adding new and improved features in v4.25 and v4.26 to further improve how MIDAS can work for your business in these unprecedented times.

One of our customer’s reached out to us as they wanted a way to collate the email addresses of all their clients who had bookings over a certain date range. This was so that they could send out a bulk email to inform them hat their facilities had temporarily closed.

Now, whilst a list of all client’s addresses could be exported by MIDAS, there was no easy way to generate a subset list of clients based upon when their bookings took – or were due to take – place.

We’ve addressed this for v4.26! There’s now the option to export all clients, or just details of those with bookings within a specific date range!

Export Clients With Bookings Within A Specified Date Range

Increase cancellation charges for very short notice cancellations

In addition to the above, there’s a handful of smaller invoicing improvements worth noting too:

Update visible notes once an invoice has been finalized

Once an invoice is first printed, or emailed to the client, MIDAS considers the invoice “finalized”. The content of finalized invoices cannot then be changed. However, MIDAS does allow you to update the paid status of the invoice at any time. Additionally, you can also add internal notes at any time. Internal notes are not visible to clients on actual invoices.

From v4.25 we’re now also allowing you to modify the “visible” notes section on invoices – even after they’ve been finalized!

Consolidate multiple identical invoice items

MIDAS now consolidates identical items on invoices. For example, say you’re adding a booking across two venues (rooms), each of which requires a “CD Player” resource in it.

When invoicing for these bookings, MIDAS would previously list the two venues separately and the two resources separately.

Now, MIDAS will identify these instances and combine items accordingly. So now instead of having two lines on an invoice both for a “CD Player” and both with a quantity of 1, they’d be a single “CD Player” line with a quantity of 2.

Empty itemized Invoice Notes excluded

The visible “Notes” section on invoices can be configured to be automatically populated with the content of a booking field. For instance, you could set the “Booking Notes” to automatically appear in the “Notes” section of the client’s invoice.

If multiple bookings appear on the same invoice, it could get confusing as to which booking the invoice notes relate to. That’s why we’ve previously provided an “Itemize Notes” option. When enabled, each item on the client’s invoice with an associated note is indicated with a reference number. This appears on the invoice line it relates to, and then also in the Notes section below.

If an item had no notes associated with it however, it would still be given a reference number. This could be just as confusing if none of the bookings had notes. You’d end up with a string of meaningless numbers in the Notes section, like [1] [2] [3] [4] [5]

We’ve sorted this out for v4.25! Now, only bookings with notes will be numerically referenced if the “Itemize Notes” option is enabled.

There’s a whole host of new features in MIDAS v4.25. One area that’s had a big overhaul for this update is invoicing. Combined with this, we’ve also overhauled the exporting capabilities of our software. You can now export invoice data to several popular 3rd party accounting packages.

MIDAS can export invoices to QuickBooks Online, Xero, Clear Books, and KashFlow.

In addition, you can also export Invoice Summaries to Sage Business Cloud, and QuickFile.

Export invoice to QuickBooks, Sage, Xero and more!

Exported data is tailored to each specific accounting package in CSV format, allowing for easy import.

We also provide some additional export options for applicable accounting packages. For example, to allow you to specify a ledger/account code, or to map a custom customer field in MIDAS to a customer reference field in your account package.

Additional format-specific export options

We’re making some improvements to Statistics and Reporting for v4.25. These include…

Filter Options

To declutter the Statistics & Reporting screen, the display of filters – such as date range selection – can now be toggled. There’s a new “Filter” button at the top of Statistics screens:

Advance Filter Options may be accessed via the new “Filter” button

Clicking this button will toggle the display of applicable filters for the current report:

Advanced Filters shown for Booking Statistics report

Filter Venue Statistics By Booking Type

Previously, Venue Statistics report generation was for all venues, or for an individual venue. Now, it’s possible to further filter Venue Statistics by Booking Type too.

Identify Clients Who Are Also Users

When viewing Statistics for an individual client, MIDAS will now indicate whether that client also has a user account in the system.

Export Statistics

Since v4.18, it’s been possible to export Statistics and Reports in Excel format (.xlsx). This feature was available to all users who had access to the Statistics screen (via the “Can Use Statistics” User Permission).

As we’re introducing a dedicated “Can Import / Export” user permission for v4.25, the ability to export Statistics and Reports will now only be available to users who are allowed to export data.

These are just a few of the new and improved features for MIDAS v4.25. Please see this post for details of other new features you’ll find in v4.25.

For v4.25, we’ve made a some improvements to user management. These include..

New “Can Search” Permission

We’ve added a new “Can Search” user permission allowing administrators to control which users can access the Search features within MIDAS.

New “Can Import / Export” Permission

We’ve also added a new “Can Import / Export” user permission allowing administrators to control which users can import and/or export data. As well as simple Yes/No options, this setting also includes “Export Only” and “Import Only” options too.

Re-Show The Quick Tour Upon A User’s Next Login

Re-enable the Quick Tour option on any user account. The next time the user logs in, they’ll be presented with the option of a quick tour of the user interface. For more information please see this post.

Support For Users On Unstable Connections

One of the security features we built into MIDAS automatically logs out a user’s session if it detects their IP address has changed. As a result of the COVID-19 pandemic, we found many more users were working remotely from home. Often their home internet connections were unstable, or their ISPs were under heavy load as a result of increased demand. Consequently, some users were finding that their IP address was frequently changing. In some cases, this was happening every couple of minutes! Due to the security restrictions we built into our software, this meant they were being frequently logged out of their MIDAS system.

So for v4.25, we’ve introduced a new “User is on an unstable connection” setting. With this setting enabled on a give user account, MIDAS will ignore any IP address changes whilst the user is logged in. This means that even if their IP address changes, they will remain logged into MIDAS.

This setting, disabled by default, should only be temporarily enabled for users who are experiencing frequent log outs due to a fluctuating IP address.

Optionally Add New Users As Clients

Whenever an administrator adds a new user to their MIDAS system, a corresponding entry is automatically made in the client database for the individual. This is because it is generally assumed that there will be instances when a user adds a booking for themselves.

However, following customer feedback, we’ve now made automatically adding a new user as a client optional. Now, when a new user is added, an “Also add user as a client” box is shown. If this box is unselected, the new user will be added without an associated entry made in the client database.

Easily Toggle “View Access” settings

The “View Access” options allows an administrator to control which venue groups (and therefore venues) a user has access to. By default users have access to all venue groups, but there may be instances when you wish to restrict this. If you have a long list of venue groups, it can be tedious to manually check/uncheck lots of groups. As such we’ve added a way to “toggle” all currently selected groups. Simply click/tap on the “View Access” label, and all checked groups will become unchecked, and vice versa.

Easily toggle selected “View Access” options for a user by clicking/tapping “View Access”

These are just a few of the new and improved features for MIDAS v4.25. Please see this post for details of other new features you’ll find in v4.25.

We think we’ve really “Excelled” with our forthcoming update to MIDAS… literally!

…because we’re adding the ability to export directly in the native Excel (2007+) .xlsx format.

Previously in MIDAS, if you wished to export bookings, clients, invoice summaries, or resources directly to Excel, you’d first need to export as a CSV (Comma Separated Values) file, and then import this file into Excel.

However, in MIDAS v4.18, you’ll now be able to export data directly into a native .xlsx Excel 2007+ format!

HAPPY NEW YEAR!!

We’d like to take this opportunity to wish you all a very Happy New Year from all of us here. We hope 2013 will be a great year for you!

We’re also excited to announce the release of MIDAS v4.01.

The primary focus for v4.01 has been to further optimize the speed and performance of MIDAS v4. In our benchmark testing, on average,
MIDAS v4.01 is 15% faster than v4.00 !!

Whilst the main focus for this update has been on improving speed and performance, we’ve also included several new features too…

Full Screen Mode

If you’re running MIDAS in a browser that supports the new “Full Screen API”, you’ll now see a “Full Screen” link on both the login screen and within MIDAS itself. At time of writing this includes: Firefox 15+, Chrome 22+, Safari 5.1+, and Opera 12.1+.

Easily Switch To Full Screen Mode

Clicking a “Full Screen” link will make your MIDAS run in “full screen” mode – MIDAS will fill your entire screen! No tabs, address bar, taskbar or other items cluttering up your screen. You’ll be able to see your booking grid at its largest possible size!

You’ll be able to exit full screen mode at any time by clicking the “Exit Full Screen” link, or by pressing “Esc”

Additional Export Options

In v4.01, we’ve improved the Export function within MIDAS. You can now export Resources and Invoice Summaries in either XML, CSV, or TXT formats. This is ideal if you wish to use this data in 3rd party applications (such as Quickbooks, etc)

Export in XML, CSV, or TXT format

Set Operating Hours for all Venues at once

Whilst setting up your venue’s “Hours of Operation” is generally something you’ll do initially and then probably rarely change again, it can still be quite time-consuming clicking lots of green squares for each hour period during the week for each of your venues. That’s why in v4.01 we’ve added an “All Venues” checkbox.

Apply Hours Of Operation To All Venues

If you select this box, when you click “Save Changes”, the Hours of Operation for the currently selected venue will be “copied” to all your venues!

Improved Booking Information “Client” Tab

The Client tab of the Booking Information Panel in v4.01 now also includes a list of the client’s Paid and Outstanding invoices when you “hover” over a booking for any particular client. You can further click any invoice from these lists to jump straight to that invoice!

Improved Client Details in the Booking Information Panel

Better User Experience when making “Booking Requests” on mobile devices

If you’re a regular reader of our blog, you’ll know we recently introduced a mobile version of our main website. We’re currently in the process of developing a mobile-specific version of MIDAS too. This should make an appearance sometime next year. In the meantime, however, for MIDAS v4.01 we’ve made the Public Booking Request feature much more “mobile friendly”. It’s now easier for members of the public to check room availability and make bookings requests through their smartphone or mobile device:

How the Public Booking Request form for MIDAS v4.01 renders on a Smartphone

Keep Your Browser Up-to-date!

We want you to have the best possible user experience when using MIDAS in your favorite Web Browser. We support our scheduling software in all 5 major browsers. These are Internet Explorer, Firefox, Chrome, Safari, and Opera. A list of the minimum and recommended versions for each of these browsers we support can be found at mid.as/browsers.

Keeping your web browser up-to-date is so important! That’s why, starting with v4.01, MIDAS will display a notification if your browser is too old to use MIDAS, prompting you to update:

Additionally, if your browser meets the minimum version we support, but falls short of the version we recommend, MIDAS will also show a notification:

(These notifications are enabled in MIDAS v4.01 by default, but may be turned off if desired)

Emerging Web Technologies

It’s a very exciting time for web based development. There are lots of new and emerging technologies and standards (such as HTML5 and CSS3). Some of these are already used by MIDAS v4 (such as the new “drag & drop to reschedule bookings” feature). If you’re stuck on an older web browser that doesn’t support these standards/technologies, you won’t be able to take advantage of all the features that MIDAS (and internet in general) has to offer. Plus you’ll be potentially exposed to web-based security threats that emerge all the time if your browser is not kept up-to-date.

To allow us to continue to develop new and exciting features for MIDAS, we have to “phase out” support for older browser versions, as they become too old, and newer versions are available. For instance, we took the decision in 2010 to drop support for Internet Explorer 7. Now that IE10 is available for Windows 8 (and now also available for Windows 7 users too), during the course of 2013 we’ll likely be dropping support for IE8. IE8 is a browser which is now nearly 4 years old – which by today’s fast evolving browser landscape is considered very old!

Don’t worry, MIDAS v4.01, is still supported on IE8. But the introduction of this new notification system with MIDAS v4.01 if your browser is too old will hopefully encourage users to update their browser, and in that way be prepared for when support ends for older browsers, such as IE8.

View the full Changelog for MIDAS v4.01 here

How To Get MIDAS v4.01

Existing MIDAS customers with valid Support Subscriptions can update to v4.01 from within the software (MIDAS Admin Options → Manage MIDAS → Update)

Customers who have their MIDAS “cloud hosted” by us – you don’t need to do anything! – We’ve already updated you to MIDAS v4.01!

If you’re not yet using MIDAS, why not start off the New Year by getting your organization’s room scheduling in order once and for all with our intuitive, easy to use, web based software MIDAS!?

Why not give MIDAS a try now, and Read what some of our existing customers say

New Year… New Start

As a New Year is an ideal time to make a fresh start with your room bookings, to celebrate 2013 we’re offering 13% off new purchases throughout January! – simply use Promo Code “NEWYEAR13” on our website when making your purchase.

Again, on behalf of everyone at MIDAS, we wish you all the very best for 2013!
