How To Setup Venue Operating Hours

This video tutorial covers how to set up hours of operation for each of your venues (rooms/bookable spaces).

Hello and welcome to MIDAS tutorials.

In this tutorial I'm going to show you how to set up your venues operating hours that is, those times when people can't book because your building is closed.

We do this via the Manage Venues screen, which we access via MIDAS Admin Options, and selecting "Manage Venues" from the drop-down.

So we've currently got Room 1 selected, and you'll see here there's an "Hours" tab with two sub tabs; "Hours of operation" and "Closed between".

Now the "Hours of operation" - you'll see there's a grid of lots of green squares.

Along the side of the grid are the days Monday to Sunday and across the top are the hours of the day from midnight to midnight.

A green square indicates that Room 1 is opened and a red square indicates Room 1 is closed.

So at the moment as we have a full green square, so Room 1 is open 24 hours a day, seven days a week.

If Room 1 isn't available on let's say a Saturday and Sunday we can click the "Closed" boxes, and you'll see the whole of the row for Saturday and Sunday has now turned red.

Additionally, at the moment on Monday to Friday Room 1 is available from midnight to midnight.

Let's say Room 1 is only available from eight o'clock in the morning.

So we can click on each of these squares and you'll see now on Monday it's closed to up until 8 o'clock in the morning.

We'll do the same on Tuesday and on Wednesday, and Thursday and Friday as well.

So now Room 1 is only available from 8 o'clock in the morning till midnight, Monday to Friday.

Again, let's say it's only open from 8 in the morning to 8 at night, in which case we can just block off these hours from 8 p.m. to midnight.

If you right-click on the square you'll see you can close it in 15 minutes increments.

So for example there on Monday, Room 1 is only available from 8:30 in the morning so the hours of operation are on a weekly cycle, so these hours would apply each week.

If, for example, we need to close one of our venues for a period of time - maybe it's the school holidays, or perhaps there's some maintenance work going on - then you can also close your venue between two dates,

and that's done by the "Closed between" tab.

You'll see here, we have a calendar gonna list a close from and close until dates.

So let's say for the first week in June we want to completely close off Room 1.

So we'll select 1st of June and you'll see that appears here and we'll select the 8th of June, and you'll see now Room 1 will be closed between 1st of June and the 8th of June.

We can also select multiple periods as well, so let's say we also want to close it for the first week in July as well.

We can select 1st of July and the 8th of July, and you'll see those dates appear there as well.

So this is really great if you're in a school environment, for example, you can put all your holiday periods in for the entire school year.

Finally, you'll notice in the top right corner of the hours tab there's an "All venues" box.

If we select this then when we "Save Changes", all the hours of operation and closed between times that we set up will be applied to all our venues, not just Room 1.

So we have that selected and we'll click "Save Changes".

Now back in our booking grid, you'll see that it's changed.

These areas are now grayed out to denote that Room 1 and Room 2 are now unavailable from midnight till 8 a.m. and again from 8 p.m. to midnight.
