How To Process Booking Requests

This video tutorial covers how to approve, reject, modify, query, and lock booking requests.

Hello and welcome to MIDAS tutorials.

In this tutorial I'm going to show you how to process booking requests.

Now this tutorial assumes you're already setup as a "Manager" for your venues, and that you have the necessary user permissions to be able to process booking requests.

So in the MIDAS toolbar you'll see this icon here with a number 3 on it.

This indicates there are currently 3 outstanding pending booking requests.

I can view these by clicking the icon, and you'll see there are 3 requests, and the current availability of each is indicated as well.

There are a series of icons adjacent to each entry.

The first icon will approve the booking request and make it into a confirmed booking.

The next icon along allows us to query the booking request with the requester.

The next icon allows us to modify and then confirm the request.

The next icon allows to reject the booking request, and the last icon allows us to lock the booking request so that no other users can process it.

So in this tutorial I'm going to show you a few of those features.

So let's start by approving a booking request.

We'll take this first one which is for Room 2 on the 22nd of June, and to approve it we simply click "Approve".

You'll see the booking has disappeared from the pending booking request screen, and if we go to the main booking grid, you'll see there's our confirmed booking.

When we confirmed that request, the requester automatically received a booking confirmation notification.

Now, there is a setting near the bottom that allows us to approve or reject requests silently.

So if this was selected and we click "Approve booking request" the booking will be confirmed, but no notification will be sent to the client.

So I've shown you how to approve booking requests, I'll show you now how to reject a booking request.

So let's reject the next one, so this is for Room 5 on the 22nd.

We'll click "Reject". MIDAS will then ask us for a reason why we're rejecting this request, so we could say "unfortunately we do not have enough staff to cover this event due to sickness", and then we can click "Reject", and the booking will be rejected, and the requester will be sent a notification along with the reasons for the rejection.

Finally, I'm going to show you how to modify a booking request.

So we have one request remaining here and it's for Room 6 on the 22nd from 9 till 10 a.m.

So I'm going to modify that and put it into a different venue.

So we click "Modify".

Here are details of the request, and instead we're going to put it into Room 9.

So we'll select Room 9 and un-select Room 6.

"Check availability and accept".

Room 9 is available, so we click "Book all available", and there's our booking that's now confirmed there in Room 9, and once again the requester will have received an email, informing them that their request has been approved with some changes.
