Email Notifications in MIDAS

Some events in a booking system need to reach specific people immediately, not when they happen to next log in. MIDAS includes a notification system that sends email alerts based on activity within the system, without manual intervention from whoever made the booking.

Resource-triggered notifications

The most common use case is notifying staff when resources relevant to them are added to a booking. When a booking includes catering, the catering team gets an email. When a technician is allocated to a booking, they find out about it without someone having to contact them separately. This is configured through the Watches feature, which monitors the system for specific types of activity.

Low stock alerts

For consumable resources - coffee, stationery, cleaning supplies, anything that depletes with use - MIDAS can send an alert when the remaining quantity drops below a threshold you set. This gives the relevant person time to reorder before the shortage becomes a problem at a booking.

Booking request notifications

When a member of the public submits a booking request through your website, MIDAS notifies the relevant staff member by email so it doesn't sit unreviewed. The notification includes the request details, and the reviewer can approve or decline from within MIDAS.

Booking reminders and invoice notifications

MIDAS also sends automated reminder emails to clients before upcoming bookings and automated notifications for invoices approaching their due date or becoming overdue. These are covered in more detail in the booking reminders and invoice reminder feature pages.

Who receives notifications

Notification recipients are configured per watch rule. They don't need to be MIDAS users - any email address can be a notification target. This means external contractors, suppliers, or other staff without a MIDAS account can receive relevant alerts.
