Automated Booking Reminders in MIDAS
No-shows are a frustrating reality for any facility that takes bookings. A client forgets they booked a room. A meeting is quietly abandoned but the booking isn't cancelled. The room sits empty for two hours while someone else who needed it couldn't get it.Automated booking reminders are one of the more straightforward ways to reduce this. MIDAS can send email reminders to clients ahead of their bookings, without anyone having to manually track what is coming up and who needs to be contacted.
How reminders are configured
Reminder settings are configured in MIDAS's system settings. You set how far in advance the reminder should be sent - 24 hours before the booking, 48 hours, a week before, or any interval that makes sense for your operation. Multiple reminders can be sent at different intervals if needed.What the reminder contains
Reminders use a customisable email template that includes the booking details automatically - venue, date, start and finish time, and any other fields you choose to include. If your confirmation email template includes a link to directions, your reminder template can too.Staff reminders versus client reminders
MIDAS supports reminders for staff users as well as reminders to clients. A staff member can set a personal reminder on any booking that will appear in their MIDAS notifications when they log in. The automated client reminders described here are separate - they go to the client's email address from the booking record, regardless of whether the client has a MIDAS account.Combined with booking confirmations
The reminder system works alongside booking confirmation emails. A client might receive a confirmation immediately after the booking is made, and then an automated reminder the day before.
